Repository Policy

The Palacký University Open Portal (hereafter referred to as UP Open Portal) is the official open-access repository designed to store, preserve, and showcase the research output of the community of Palacký University Olomouc. Therefore, members of the academic community of Palacký University Olomouc can deposit their research outputs in the repository, browse and search the metadata, and, in most cases, download content from all repository collections. Other external users are welcome to browse and search the metadata and download the Open Access content from the repository. The handling of employee works in the repository is in accordance with UP Policy Protection of Copyright, Copyright-related Rights and Databases at Palacký University Olomouc (R-B-23/03).

Metadata Policy 

  • All metadata available on UP Open Portal are published free of restrictions, under the terms of the Creative Commons CC0 1.0 Universal Public Domain Dedication.
  • Anyone can access, copy, share, modify, harvest and re-use the metadata for any purpose, free of charge and without requiring permission from Palacký University Olomouc.
  • Palacký University Olomouc is committed to providing high-quality and machine-actionable item-level metadata.
  • Mention of the UP Open Portal is appreciated but not mandatory.

Data Policy 

  • Access to some items may be restricted where the embargo is applied.
  • All items are individually tagged with appropriate permissions and terms of use.
  • If not tagged differently, copies of full items can be reproduced, displayed or performed, given to third parties and preserved in any format, medium or database.
  • Copies of full items may generally be used for personal research or study, educational, non-profit, or commercial purposes without prior permission or charge, provided:
  • The authors, title and full bibliographic details are given.
  • A PID and/or URL in the form of hyperlinks are given for the original metadata (landing) page.
  • The original copyright statement is given.
  • The content is not changed in any way.
  • Mention of the UP Open Portal is appreciated but not mandatory.
  • Full items must not be harvested by robots except transiently for full-text indexing or citation analysis.

Content Policy 

  • The item consists of metadata, files and a persistent identifier.
  • The UP Open Portal includes the following types of works:
    • peer-reviewed journal articles
    • books and book chapters 
    • conference papers and proceedings
    • supplementary materials, i.e., additional content that complements the works listed above, such as figures, tables, or texts.
  • Other types of objects can be deposited by agreement with the administrator. Please contact us at repository@upol.cz.
  • To increase the probability for full long-term preservation UP Open Portal prefers file formats that are non-proprietary, open with documented standards, use standard character encodings (ASCII, UTF-8) and are uncompressed.

Submission Policy 

  • Only full texts of employee works, i.e., works created by the authors at Palacký University Olomouc, and UP students’ school works, can be deposited in the repository.
  • Items may only be deposited by administrators of the UP Open Portal or other registered users (typically submitters) who obtain the necessary permissions to deposit and edit records.
  • Items can be deposited at any time but will not be made publicly accessible before any publishers' or funders' embargo period has expired.
  • Deposited items are subject to verification by repository administrators.
  • The administrators vet items for the eligibility of authors/depositors, relevance to the scope of the UP Open Portal, valid layout and format, and the exclusion of spam.
  • Depositors must own all necessary rights required to deposit the items. Depositors are held responsible for compliance with any national or international legal regulations, funder policies and publisher embargoes.
  • The validity and authenticity of the submitted content and any copyright violations are the entirely responsibility of the depositor.
  • If the UP Open Portal receives proof of copyright violation, the relevant item will be removed as soon as possible.
  • Files exceeding 100 MB in size should not be directly uploaded to the repository. For files with sizes larger than 100 MB, special upload permission may be sought out with repository administrators.
  • By depositing items into the UP Open Portal, the depositors accept the terms and conditions defined in this Repository Policy.

Versioning Policy

  • The metadata of an item (e.g., title, authors) can be edited even after publishing it.
  • Errata and corrigenda lists may be included with the original record if required.
  • Changes (addition, removal, modification) of files are not permitted after they have been published. Instead, versioning can be used.
  • If needed, a new version of an item can be created.
    • When a new version of the item is deposited, a separate "versioned" identifier is created.
    • Only the most recent version of the item is available via the search interface, and it is clearly identified.
    • Previous versions of the item continue to be visible, citable and accessible. On the item page, there will be links to view them.
    • If needed, the earlier version may be withdrawn from public view, however, the files and items are preserved.

Curation Policy 

  • The provided levels of curation include:
    • metadata curation (brief checking, corrections, adding further metadata elements, etc.)
    • enhancement of item documentation
    • curation of file formats (transformation of file formats for increasing access, interoperability, and likelihood of long-term preservation)
    • creation of title pages for Author Accepted Manuscripts (AAM)

Preservation Policy 

  • Items will be retained for the lifetime of the repository.
  • The UP Open Portal ensures that the web servers, storage systems and databases providing the repository are backed up at least once every 24 hours to ensure recovery of all systems with not more than a period of 24 hours of loss of data in the event of a failure.
  • The UP Open Portal will strive to maintain the long-term readability and accessibility of deposited items.
    • Items will be migrated to new file formats where necessary.
    • It may not be possible to guarantee the readability of some unusual file formats.
  • Items may not normally be removed from the repository.
  • Acceptable reasons for withdrawal include:
    • publishers' policies and requirements
    • funders' policies
    • proven copyright violation or plagiarism
    • legal requirements and proven violations
    • national security
    • falsified research
  • Withdrawn items are not deleted per se but are removed from public view. Withdrawn items remain available for audit purposes to administrators only.
  • Withdrawn items' identifiers and URLs are retained for the lifetime of the repository.
  • The identifiers and URLs will continue to point to the 'tombstone' page indicating that the item has been withdrawn. The metadata of withdrawn items will not be searchable.
  • In the event that the UP Open Portal is closed for any reason, Palacký University Olomouc will make every effort to transfer the database to an alternative repository.

  • This policy is subject to revision whenever deemed necessary by changed circumstances or changes in best practice.
